How to make the most of your meetings

Choose the right location

Choosing the right location for a meeting is more important than some may think, an easily accessible location is convenient, but naturally the décor and design of your meeting space is what gives your business its initial persona. Have a plan

Successful meetings require advance planning. Before scheduling your meeting, consider whether the meeting is necessary, could this be done over phone or email? What is the purpose of the meeting? Set objectives and have a clear understanding of what it is that you want to get out of it.

Begin and end on time

Nothing is more unprofessional (or frustrating!) than arriving late to your own meeting. Respect your guests and ensure you are the first member there, set up and ready to go. Ensure your meeting does not run over time – your guests may have other places to be. If you did not manage to get through everything, determine if another meeting should be set up or write a follow up email discussing all that was missed.

Encourage participation

Successful meetings require diversity of thought. Promote conversation through questions, rather than leaving Q&A till the end, make sure questions are embedded throughout to keep people engaged.

Conclude with action items

Address back to the reasons why this meeting was held, did you get everything out of the meeting that you intended? Have you set clear deadlines, and goals? And do they have a clear understanding of what was discussed?
